How many staff before I need payroll software?
There is no legal number. From the first staff you must pay EPF, SOCSO, EIS and PCB correctly every month and give payslips. A spreadsheet can work for one or two staff on fixed wages; with overtime, allowances or foreign workers, software cuts mistakes. What you must do from the first staff
Register as an employer with KWSP, PERKESO and LHDN, deduct and pay EPF, SOCSO, EIS and PCB every month, and give each staff a payslip. Late or wrong payments can lead to penalties.
When a spreadsheet stops working
A spreadsheet is fine while wages are fixed and you check the tables yourself. It gets risky with overtime, allowances, unpaid leave, staff joining or leaving mid-month, foreign workers or PCB on higher salaries. One wrong cell repeats every month.
